This simple process will save you time for every contract or financial form you send.

The Big-Business Tools

When your small business first starts needing formal contracts and streamlined processes for forms, you will inevitably look at the biggest names in the space; primarily Adobe and DocuSign. Both platforms are certainly functional and robust, but they are truly built for enterprise-level organizations with complex needs, large budgets, and dedicated IT support; that is to say, they are often overkill for a small business founder and feel heavy and slow.

I look for certain signals. Both Adobe and Docusign send me emails about upgrading to features that would never be appropriate for the volume of contracts that I deal with or the size of our business. That tells me that these products are really aiming to get individual users who work for bigger organizations and then work their way up. It’s a great strategy but I’m a bad target.

My Experience with DocuSign

Early in my journey, I adopted DocuSign because of its industry recognition and assumed reliability. I did manage to get some valuable processes in place; I used its template features extensively to create fill-in-the-blank agreements for partners and contractors I was hiring, which significantly sped up my onboarding.

I struggled because I was only willing to pay for 1 seat and yet I needed the support of others to keep contracts moving forward, signed and filed.

E-Signature Alternatives

While I did get a lot of utility out of the system, my frustrations with DocuSign mounted over time. The primary issues were simple; the pricing structure felt heavy for the volume I was processing, and the interface was clunky and slow, often causing unnecessary delays when I was trying to execute a simple signature request. As a small business founder, every minute and every dollar counts; I needed an efficient and cost-effective solution.

The key lesson was recognizing that the expensive, enterprise solution was unnecessary for the core function of getting a signature and filing a document. You do not need the full feature set of a massive platform, you just need a reliable way to sign and save.

This is why I highly recommend alternatives that focus on simplicity and affordability:

Instead of buying a system meant for a Fortune 500 company, I recommend looking at dedicated, lightweight e-signature tools.

signNow

signNow focuses on being an intuitive and simple e-signature solution. It is designed to be fast and easy to use, which is exactly what a small business founder needs to execute agreements quickly and move on to more important work. Their tools stands out right away because it encourages integration with Zapier. As I talk about in how to select software for a small business, this is a critical factor. If you have to dig for it, they likely don’t support easy connections through their API.

Beyond simple integrations, signNow offers advanced features like role-based access permissions and the ability to create customizable templates for frequently used documents, which simplifies repetitive tasks for your team.

DocHub

DocHub is another highly capable platform that is often praised for its simplicity in handling, editing, and signing PDFs, making it a great replacement for complex, oversized tools. It is particularly valuable for founders who rely heavily on the Google ecosystem, as it features deep integration with Google Workspace.

This integration allows you to edit, sign, and send documents directly from Gmail attachments or Google Drive, ensuring your workflow remains streamlined within the apps you already use daily. For businesses with tight budgets, DocHub provides robust features in its free version, including essential tools for setting up organized document folders and multiple signer workflows.

How to Automate Contract Filing with Zapier or n8n

I’ve created multiple workflows to support our contract process using Docusign. My plan is to eventually move to a product like signNow, but I didn’t know there where other options when I started this process.

The goal of this is integrate it with Google Drive and Slack. Specifically, I used Zapier to automate the process of creating a new folder in Google Drive based on the contract being signed, ensuring a clean and organized filing system. This automation saved a lot of manual administrative time.

e-signature document filing Zap

You’ll notice that I have some additional steps in my Zap. These aren’t essential but they are important for our business need.

Split into paths: We had two different workflows that we wanted depending on the type of document. If it is vendor contract it goes down one path. ACH forms go down another.

Formatting: We have several steps where we format some of the data to better appear in our Slack messages, etc. These aren’t essential but are the kind of housekeeping we tend to do to make things look nicer.

Slack Messages: We like to see confirmation in our channel focused on contracts.

For this purpose, I’ll focus on the ACH path because it is simpler.

1. Trigger: Signed Document

The first step in creating a Zap is setting up the Trigger, which is the event that starts the automation. Docusign and signNow provide several options including when a document is completed.

Log in to Zapier and click “Create Zap.”

Choose App & Event: Select your e-signature platform, for example, Docusign or signNow, as the App.

Choose Trigger Event: Select the event that signifies a completed contract. This is typically “Document Signed” or “Document Completed.”

Connect Account: Connect your account to Zapier.

Test Trigger: Test the trigger to pull in a recent signed document. This gives Zapier the data it needs (like the signer’s name) to use in the next steps.

2. Action: Find or Create the Folder

After formatting the date so that it is in ISO format, the next step is telling Zapier to create a new folder in Google Drive. You’ll use data from the signed document (the Trigger) to name the folder.

Choose App & Event: Select Google Drive as the App.

Choose Action Event: Select “Create Folder.”

Connect Account: Connect the Google Drive account where you want to store your contracts.

Set up Action: This is the most important part for organization:

Drive: Select “My Google Drive.”

Folder Name: Click into this field and use data pulled from the Docusign trigger to create a unique and informative name. For a contract, the best practice is to combine a static name with a dynamic element, such as: [Contract Name] – [Client Name] – [Date Signed]. For example, you would click the Docusign data field for the Document Name, then the field for the Signer’s Name, and then the Date Signed field.

Find the existing folder named for the user or create a new folder.

3.
